Designing a frictionless student journey
Today’s prospective students are digital natives. They manage their lives directly from their smartphones – making purchases, arranging plans, checking emails, catching up with family – everything they need, accessible on a single device.
Universities, by contrast, are rushing to catch up. For many, their legacies go back centuries, and they still find themselves steeped in administrative processes and physical infrastructure that doesn’t gel with student expectations.
When the two sides meet at the university gates come enrolment day, that disconnect can be destabilising for both sides.
Friction in action: what do we mean by friction anyway?
For students, friction can look like an ‘incorrect password’ message, it can look like incompatibility with mobile devices, platform downtime before exam season, unreadable file-types, links buried inside links – all making what should be easy, a time vacuum.
For staff, it’s much the same. Reuploading reading lists multiple times into different platforms, outdated lecture slides surfacing instead of relevant content, students asking shadow AI instead of a trusted source, the list goes on.
It’s about putting yourself in the shoes of your university community to understand exactly where the current workflows are making things harder, not easier.
First step to frictionless: integrate, integrate, integrate
A layered tech stack is crucial: a multi-faceted digital ecosystem adds depth, facilitates personalisation and tackles every angle of the student experience, providing a comprehensive solution that single providers just don’t have the breadth to accommodate.
The challenge is when these platforms don’t have the ability to talk to each other. This is where systems become fractured, messages aren’t clear or traceable and there are multiple touchpoints providing contradictory information.
When digital infrastructure can interact, this is when friction starts to become seamless. This could be through:
- Single sign-on (SSO)
Partnering with Open Athens or Shibboleth means students just need to remember one password across their institutional ecosystem, instead of being met with constant ‘incorrect credentials’ messages. One login, one set of credentials, one barrier to learning removed.
- VLE integration
The VLE acts as an aggregator of all a student’s learning resources. From reading lists to lecture notes and recordings, it’s all available inside one key access point. If it’s not in the VLE, embedded directly into user workflow, adoption can prove a significant challenge for staff and students.
- Device compatibility
Make learning fit into the modern-day student’s mobile-first habits. If a platform can’t be viewed on a tablet or phone, you’re ultimately taking valuable learning time away from students who are trying to access on their commute or when their laptop is out of battery.
24/7 access means uptime statistics are key
Student life in 2026 is characterised by high living costs and consequently, a growing reliance on part-time work (HEPI, 2025). This means students are turning to digital resources to fill in the gaps.
If they miss a lecture or seminar due to a work shift, they need to be able to catch up – even if that means outside of office hours. This is also the case for students who have family responsibilities, those with illness – even night-owls or early birds. Facilitating 24/7 access levels the playing field for every student.
Using VLEs means students have their own in-built self-service portal, containing all their learning resources in one comprehensive digital space.
Using Kortext, eBooks can be embedded into the VLE – including the all-important accessibility features – so students can access their reading, right where it’s allocated.
With such reliance on a single platform, uptime is crucial. Institutions have the right to transparent usage stats so they can confidently invest in partners that understand 24/7 and work with that as a baseline standard.
Self-service support: introducing IQ
Housing such a wealth of data in a VLE comes its own hurdles, finding what you need when you need it can be difficult.
This is where AI comes into the picture.
Kortext IQ isn’t limited to the Kortext environment, it uses the Kortext fusion foundation to aggregate institutional data, before drawing responses from a holistic pool of institutional content that is contextual and relevant to that individual student.
That means, when a student opens IQ in their VLE or on Kortext directly, asking:
‘What is my reading for lecture 3 in module DPSY101?’
IQ can delve into the student’s specific VLE environment and draw contextualised data to answer their question, linking the student directly to the content they need.
For academics, IQ can be used for busy academics to get quick answers for example:
‘What are the learning outcomes for students taking the DPSY101 module?’
IQ can visit the relevant module and its associated data in the VLE and answer the question, without the need for the member of staff to waste time searching and scrolling.
More than just a time-saver, Kortext IQ is pedagogically aligned, seamlessly guiding staff and students to contextual and user-specific resources relevant to their course and discipline.
For this reason, AI-enabled digital learning environments redefine what it means to provide a frictionless student journey. Cutting out the admin so staff and students can focus time where it really matters – on teaching and learning.
It’s not just about catching up, it’s about understanding
True impact comes from asking questions and listening to your institutional community, exploring where they are experiencing friction and filling the gaps with tech that truly makes an impact.
Our ongoing conversations with potential partners in 2026, centre around curiosity and exploration through piloting. This way, institutions can explore exciting new technology in-situ and gain qualitative feedback from users, measuring satisfaction – not just usage.
Kortext partners benefit from 24/7 access across any device, including full integration with all major VLEs and library systems that institutions depend on.
We understand friction, and we understand the power of frictionless.
